How to Tailor Your Resume to a Job Description (The Right Way)
Most job seekers have one resume. They update it when they get a new job, polish it up when they start looking, and then send it out to every application. It's efficient. It's also one of the main reasons people don't hear back.
Recruiters can tell when a resume is generic. More importantly, ATS systems can tell — and they filter you out before a recruiter ever sees you. Tailoring your resume to each job description is the single most effective thing you can do to increase your response rate.
The problem is that tailoring sounds time-consuming. Done properly, it doesn't have to be.
Why Generic Resumes Don't Work
Think about it from the recruiter's perspective. They're hiring a Senior Product Manager for a fintech company. They get 200 applications. Half of those resumes say "experienced product manager with a passion for building great products." That tells them nothing specific.
The resumes that stand out are the ones that clearly reflect the job they're hiring for — the right industry experience, the right tools, the right language.
ATS systems work the same way. They're scanning for specific terms from the job description. If the job asks for "Agile methodology" and your resume says "worked in fast-paced environments," you're not matching. You might have done exactly what they're looking for — but the system doesn't know that.
The 20-Minute Tailoring Method
You don't need to rewrite your resume for every application. You need to make targeted changes that take 15–20 minutes once you know what to look for.
Step 1: Read the job description once, then read it again. The first read is for overall understanding. The second read is for specifics. On the second pass, highlight or note: skills mentioned more than once, tools or certifications listed as requirements, phrases used to describe the ideal candidate, and any specific metrics mentioned.
Step 2: Update your professional summary. Your summary should reflect the specific role you're applying for. Two to three sentences, written to mirror the language of the job description.
Step 3: Adjust your skills section. Go through the skills you highlighted from the job description. If you have those skills, make sure they're listed using the exact same terminology.
Step 4: Reorder and reframe your bullet points. Move the most relevant bullet points to the top of each role, and where possible, reframe them to use the language of the job description.
Step 5: Check your job titles. If your official title doesn't reflect what you actually did, consider whether a clarifying note makes sense.
What Not to Do
Don't just copy phrases from the job description and paste them into your resume without context. "Experienced in cross-functional collaboration" as a standalone bullet point means nothing. Show it in action: "Led cross-functional collaboration between product, engineering, and sales teams to launch three features in Q3."
Don't remove genuinely strong experience just because it doesn't match the job description perfectly. Tailoring means emphasising relevance, not erasing your history.
Don't spend three hours on one application. The 20-minute method above covers the most impactful changes. Beyond that, you're getting diminishing returns.
How Much Difference Does It Actually Make?
Significant. Studies on hiring consistently show that tailored resumes receive 2–3x more responses than generic ones. When you consider that most job seekers are sending the same resume everywhere, even a modest amount of tailoring puts you ahead of the majority of applicants.
The job market is competitive. Everyone applying for the same role has roughly similar qualifications. The difference between getting an interview and not often comes down to how well your resume reflects the specific language and priorities of that particular job. Tailoring is how you close that gap.
It takes 20 minutes. For the chance of landing an interview, that's one of the best time investments you can make.
